APA is hiring a Manager of Programs and Operations

August 16, 2019 | The Atlantic Presenters Association is seeking an energetic and responsible candidate to fill the position of Manager of Programs and Operations.

The Organization

A member-based, regional arts service organization, APA delivers programs and services that build capacity, develop leaders and create opportunities for its members in Atlantic Canada’s performing arts presenting field. Our members are the venues, festivals, and performance series that bring live, professional performing arts experiences to Atlantic Canadians.

The Role

The Manager of Programs and Operations is an integral member of the APA team responsible for supporting and coordinating logistics for all the Association’s programming. This highly motivated and detail-oriented position assists with the organization and implementation of APA’s programs and events including (but not limited to) workshops and conferences, member services, and professional development, as well as monitors communications pertaining to those events. This position reports to the Executive Director. Direct report: Program Coordinator

Responsibilities associated with the position include, but are not limited to:

Develop content for professional development sessions in conjunction with the Professional Development Committee and Executive Director

Oversee and manage all workshop logistics, including: liaising with facilitators, venues, setting up registration, etc.

Manage collection and tracking of participant data and testimonials

Write news articles for APA website re-capping events

Write funding proposals and final reports

Manage Member Services including new member applications, member mailing list maintenance, supervising member communications, etc.

Work with the Communications Coordinator to create and distribute monthly eNews and member memos

Oversee conference registration for larger events like Contact East and ShiftChange

Manage APA’s various subcommittees and networks (Atlantic Moves, APA Festival Network, etc.)

Manage expense claims and final reports submitted by program participants

Suggested Skills and Experience:

Minimum two (2) years’ experience in performing arts administration, event planning, or with member services organization

Program management experience pertaining to programming and implementation, including schedules, budgets, logistics etc.

Excellent communication (written and verbal), critical thinking, customer service and organizational skills

Proficient organizational skills with the ability to manage multiple projects and tasks independently with minimal supervision

Strong interpersonal skills plus the ability to develop and maintain relationships with members and stakeholders;

Experience managing staff

Experience in grant writing and reporting is an asset

Attention to detail and willingness to show initiative;

Experience with posting, monitoring, and evaluating various social media channels (Facebook, Instagram, Twitter, YouTube, etc.)

Hard-working, self-starter with a passion for the arts;

Computer and internet proficiency: cloud-based software, graphics, multimedia, spreadsheets and databases

Ability to work flexible hours including evenings and weekends

Ability to travel (if required)


Position Type: full-time, 35 hours per week

Salary: $40,000

Benefits: 20 days paid time off, 12 paid holidays, flexible, family-friendly schedule, opportunity to work from home.

Start date: Late September, early October 2019

Our Hiring Process and Timeline

We will review applications the week of September 9.

We will begin scheduling phone interviews in mid-September.

We will begin interviews as early as mid-September. If you are invited for an interview, we will ask for two work samples relevant to this position, e.g. a process you created, a writing sample, or other relevant materials.

We would like to have the selected candidate start in late September early October.
